Terms of service

Plain-English summary
The short version. The full terms below are what actually applies.
- Shootlog is for running a creative business, not for anyone under 18.
- One owner per workspace. You're responsible for who you add to it.
- Paid plans renew automatically in USD or CAD. Cancel any time in Manage billing and keep access until the period you already paid for ends.
- Monthly payments aren't refunded. A first annual payment is refundable in full if you ask within 14 days.
- Your bookings, clients and numbers are yours. We never sell them, and you can export them any time.
- If a payment fails, you keep your plan for seven days, then drop to Free. Nothing gets deleted.
1. Who we are
Shootlog ("Shootlog", "we", "us") is operated by Sarfaraaz Kara, based in Toronto, Ontario, Canada. These terms are the agreement between Shootlog and the person or business ("you") using the service. By creating a workspace or otherwise using Shootlog, you agree to them.
2. The service and eligibility
Shootlog is a private back office for creative businesses — photographers, videographers, content creators, and decor and proposal companies — to log bookings, track team and days, record what clients pay and what team and editors cost, and see profit per booking, per month and per year. It has no client-facing pages: no contracts, invoicing, galleries or client logins. It doesn't do tax filing.
Shootlog is for business use by adults. You must be at least 18 years old and using it for a real business, not as a consumer product, to create a workspace.
3. Accounts and workspaces
Each workspace has one owner: the person who created it and signs in to it. Team members you add inside Shootlog are records — names, and optionally an email and phone number, used to assign team members to bookings and track what they're paid — not separate logins. Nobody but you signs in to your workspace.
You're responsible for keeping your sign-in secure, for the accuracy of what you enter, and for who you name as a team member and what you record about them. If you believe your account has been accessed without your permission, contact us right away.
4. Acceptable use
Use Shootlog for your own creative business's bookings, team and money records. Don't:
- Try to access another workspace's data, or probe the service for security weaknesses without our permission.
- Use the service to store or transmit unlawful content, or content that infringes someone else's rights.
- Resell or provide Shootlog as a service to others without our agreement.
- Interfere with the service's normal operation — for example, automated scraping, or attempts to bypass plan limits.
- Enter payment card numbers into Shootlog. We never ask for them; card details go to Stripe directly.
We may suspend or terminate access for a serious or repeated breach of this section, as described in "Termination" below.
5. Plans, billing and taxes
Shootlog offers a Free plan and three paid plans, Pro, Max and Max AI, billed monthly or annually, in USD or CAD. Prices are shown at checkout and are recurring: a paid plan renews automatically for another billing period until you cancel. Payment is processed by Stripe; Shootlog never sees or stores your card number.
If we change prices, we'll tell you at least 30 days before the change takes effect for your next renewal; it never applies retroactively to a period you've already paid for. Where sales tax applies to your billing address, Stripe calculates and adds it at checkout.
Max AI, and the free Create from notes tries on Pro and Max, use Claude, an AI model from Anthropic, to draft a client and a booking from notes you provide. What it drafts is a suggestion for you to check, not advice, and nothing is saved until you approve it.
6. Cancellation and refunds
You can cancel a paid plan any time from Manage billing in Settings, which opens Stripe's Customer Portal. Cancelling stops future renewals; you keep access to your paid plan until the end of the period you've already paid for, then your workspace moves to Free.
Monthly payments aren't refunded once charged. If you're on an annual plan, your first annual payment is refundable in full if you ask within 14 days of purchase — contact us and we'll process it. Beyond that window, and for any renewal after the first, annual payments aren't refunded either. We don't give partial refunds for the unused part of a billing period if you cancel partway through.
If a payment fails — an expired card, for example — you keep your current plan for seven days while you fix it, with a banner reminding you. If it's still unresolved after seven days, your workspace drops to Free automatically. Nothing is deleted when that happens; you can upgrade again once your payment method is sorted out.
7. The Free plan and caps
The Free plan is free indefinitely and doesn't need a card. It's limited to 5 active bookings (bookings that are Confirmed or Shot, but not yet Delivered) and 3 team members at a time. Pro and Max have no such limit. If you're over a plan's limit — after a downgrade, for example — nothing existing is hidden or deleted; you simply can't add more until you're back under the limit or you upgrade.
8. Your content and data
Everything you enter into Shootlog — your clients, bookings, team members, payments and expenses — belongs to you. We process it only to run the service for you: storing it, showing it back to you, calculating your reports, and sending the emails you've asked for. We never sell your data, and we don't use it for advertising.
You can export your data as a CSV file from the Money page at any time on Pro and Max, including a full year-end export on Max and Max AI. You can ask us to delete your account and its data at any time; soft-deleted bookings, clients and team members are kept for 30 days (so a mistaken deletion can be undone), then purged, and the same 30-day window applies after a full account deletion.
9. Third-party services
Shootlog relies on a small number of specialist services to run, each doing one job:
- Supabase stores your database, in Canada (Central), and handles sign-in.
- Stripe processes payments and manages billing; it holds your card details, not us.
- Vercel hosts the app and serves the pages you see, and provides cookieless page-view analytics.
- Resend sends the emails Shootlog sends you, from shootlog.ca.
- Google provides the optional Calendar connection described below.
Each of these has its own terms and privacy practices governing how it handles data on our behalf. Using Shootlog means you also accept that your data passes through these processors as described in our privacy policy.
10. Google Calendar
Connecting Google Calendar is optional, available on Max and Max AI, and entirely under your control. It lets you share a booking's days to a calendar you choose, with invites to assigned team members. You can disconnect it at any time from Settings, which stops any further syncing; it doesn't remove events already created on Google's side.
11. Service availability
We aim to keep Shootlog available and make reasonable efforts to do so, but we don't guarantee any particular level of uptime. The service may be unavailable occasionally for maintenance, updates, or issues with a provider we depend on (Supabase, Stripe, Vercel, Resend or Google). We'll try to keep planned downtime brief and out of business hours where we can.
12. Disclaimers
Shootlog is provided "as is", without warranties of any kind, to the extent the law allows. It isn't accounting, tax or legal advice, and it doesn't calculate or file tax for you. The money figures it shows — profit, balances owing, what team and editors are owed — are only as accurate as what you've entered; you're responsible for checking them against your own records before relying on them for a business decision.
13. Limitation of liability
To the extent Ontario law allows, Shootlog's total liability to you for any claim relating to the service is capped at the fees you paid us in the 12 months before the claim arose, and we aren't liable for indirect, incidental or consequential damages — lost profits or lost business, for example — even if we were told they were possible. Nothing here limits liability that can't lawfully be limited.
14. Indemnity
You agree to reasonably indemnify Shootlog against claims arising from your breach of these terms or your misuse of the service — for example, entering content you didn't have the right to record, or using the service unlawfully.
15. Termination
You can stop using Shootlog and cancel your plan at any time from Settings. We may suspend or terminate your access for a serious or repeated breach of these terms; where practical, we'll give you notice first and a reasonable window to export your data before anything is deleted.
16. Changes to these terms
We may update these terms as the service changes. For a material change, we'll tell you by email or with a notice inside the app at least 30 days before it takes effect. Continuing to use Shootlog after a change takes effect means you accept it.
17. Governing law and disputes
These terms are governed by the laws of Ontario, Canada, and any dispute is subject to the exclusive jurisdiction of the courts of Toronto, Ontario. If a disagreement comes up, please email us first — most things are sorted out faster that way than through a formal dispute.
